What we collect
The form requires your email address and message. Your name and company are optional. Please do not include confidential information, sensitive personal data, or personal data about other people.
For security and reliable delivery, the form also processes a first-party session cookie, a submission identifier, timestamps, and protected identifiers derived from your IP address and submission. These identifiers are pseudonymous, not anonymous. The rate and replay controls do not store your message text.
Why we use it
| Purpose | Legal basis |
|---|---|
| Receive, answer and manage a service enquiry | Steps requested before entering into a contract |
| Handle general business correspondence | Legitimate interest in responding to relevant enquiries |
| Prevent abuse, duplicate submissions and security incidents | Legitimate interest in protecting the website and mail service |
Providing an email address and message is necessary to submit and answer an enquiry. Name and company are optional. We do not use contact-form data for newsletters, unrelated marketing, profiling or automated decision-making.
Who receives it
Your enquiry is delivered to the authorised Cobalt Logic mailbox. Combell provides the website hosting and email infrastructure and processes relevant data as a service provider. Information is not sold or shared for unrelated advertising.
Cobalt Logic does not initiate transfers outside the European Economic Area. Combell may use subprocessors under its data-processing terms. If their processing involves a country outside the European Economic Area, an applicable GDPR transfer safeguard must cover it. You can ask for information about those safeguards by emailing steven@cobaltlogic.be. See also Combell’s privacy information.
How long we keep it
Contact enquiries are kept for up to 12 months after the last exchange and are then deleted, unless the correspondence becomes part of a client relationship or must be retained to meet a legal obligation or deal with a legal claim.
Form-security records derived from an IP address expire after one hour. Replay-protection records expire after 24 hours. Expired records are removed on a later valid submission. Combell may retain access logs, mailbox backups and other technical records for the operational, security and backup cycles defined in the active service configuration and data-processing terms. You can request the current applicable periods using the contact details above.
Essential cookie
The form uses the first-party session cookie cobalt_contact to protect submissions against cross-site request forgery. It is used only for the contact form and lasts for the browser session. The site does not currently use analytics or advertising cookies.
Your rights
Depending on the circumstances, you may ask to access, correct or erase your personal data, restrict its use, object to processing based on legitimate interests, or receive portable data where that right applies. Email steven@cobaltlogic.be to make a request. We may ask for enough information to verify your identity and normally respond within one month.
You may also lodge a complaint with the Belgian Data Protection Authority.
Changes to this notice
This notice will be updated before the contact form is used for a new purpose or before materially different providers, transfers, retention periods, analytics or marketing tools are introduced.
